How to Create an Invoice Online for Free (Step-by-Step Guide)

Step-by-step guide to creating your first professional invoice online — with logo, payment QR code, PDF download and a public share link.

If you have never sent an invoice before, the process feels heavier than it should. This guide walks through creating a professional invoice online in about three minutes — free, without signing up, and with a payment QR code your client can scan straight from their phone.

You will end with three things: a print-ready PDF for your records, a shareable public link you can drop into an email or WhatsApp message, and a scannable payment QR code that opens PayPal, Stripe, UPI, PIX or your bank.

What every invoice needs

Regardless of jurisdiction, invoices have a small set of universally-expected fields. Missing any of these makes it harder for the client's accountant to accept the document, and harder for you to prove the debt if you ever have to chase payment.

  • Your business name, address and contact details
  • The client's name and billing address
  • A unique invoice number (see our guide on numbering)
  • Issue date and due date
  • Itemized line items — description, quantity, unit price
  • Applicable tax rate(s) — VAT, GST, sales tax, or none
  • Subtotal, tax total, discount, shipping, grand total
  • Payment instructions (bank details, PayPal link, or QR code)

Step 1 — Open the free invoice generator

Head to the invoice generator. You will see a form on the left and a live A4 preview on the right that updates as you type. This is important: what you see is exactly what your client sees on the PDF and the public share link.

Step 2 — Add your business details and logo

Enter your business name, email and address. Upload your logo as PNG or SVG — it lands in the invoice header immediately. If you do not have a logo yet, the header still looks professional without one.

Step 3 — Add client details

Fill in the client's name and address. If you invoice this client often you can save these details locally so they are one click away next time.

Step 4 — Add your line items

For each item you delivered, add a description, quantity and unit price. If different lines carry different tax rates — common with mixed goods and services — set the tax field per line. The totals update in real time.

Step 5 — Set payment instructions and QR code

Paste your payment URL — for example a PayPal.me link with the amount baked in, a Stripe Payment Link, a UPI intent, a PIX code or a hosted checkout. We render a QR code on both the PDF and the shareable web invoice so the client can pay from their phone in one tap.

Step 6 — Save and share

Click Save & Share. We store your invoice and give you a secret share URL — anyone with the link can view the invoice, and you get to see when they opened it and when they marked it paid.

Step 7 — Download PDF for your records

Download the PDF. It is server-rendered, so text stays selectable and the layout is print-ready on A4 and Letter.

What happens after you send

When your client opens the share link, we mark the invoice as viewed and stamp the time. Once they pay, you (or they, from the share page) can mark it Paid. Both events land in the invoice event log so you have an audit trail.

Frequently asked questions

Do I need to sign up?
No. Guest invoices are free and shareable. If you want a saved dashboard of every invoice you have sent, create a free account.
Can I edit an invoice after sending?
Yes — the share URL always shows the latest version.
What if the client cannot scan the QR code?
The public share page also shows the payment URL as a clickable button, so tap-to-pay works even without scanning.
